POSITION SUMMARY
The Administrative Assistant will support the project by providing administrative support to the projects team. The candidate will report to the Administrative Supervisor.
ESSENTIAL JOB FUNCTIONS
1. Assisting the projects team in document transmittal, RFI follow up, procurement process and project scheduling support.
2. Printing letters and reports, arranging for copying of reports, sending correspondence by mail/couriers.
3. General office administration including, maintaining electronic and paper files, arranging for meetings and travel, organizing meetings, taking and transcribing minutes as requested and other administrative support activities.
4. Word processing, including typing and formatting letters, memos, technical reports, tender documents, specifications and proposal documents in Microsoft Word.
5. Assisting with project team with coordinating and maintaining Conject.
REQUIRED QUALIFICATIONS
Education, Training and/or Experience
1. Bachelors Degree
2. Minimum of 3 years of relevant experience in a professional/technical office environment
Knowledge, Skills, Abilities and Personal Characteristics
1. Strong oral and written communication, time-management, and computer literacy skills (Microsoft Outlook, Word, PowerPoint, Excel, Adobe)
2. Ability to multi-task, while maintaining accuracy
3. Document management experience within an ISO 9001:2000 certified organization
4. Highly meticulous nature, strong attention to detail
5. Exceptional analytical and problem solving skills
6. Ability to work in a team environment
