A growing chartered accountant firm is looking for a dynamic administrative assistant who is willing to go beyond every task.
Duties and responsibilities include the following:
- Personal Assistant / Team Coordinator/ Client Coordinator/ Admin Assistant
Personal Assistant – to the partner of the firm
-Sets up appointments and plans the partner’s diary
-Researches on prospective/ existing clients, related current events, audit programs, potential ventures, and other relevant studies for further improvement of the firm
-Supervises other administrative staff in the absence of the partner
-Controls and ensures completion of supporting documents and forms submitted for partner’s review
- Coordinator of auditors and accountants
-Sets up deadlines on staff’s tasks as advised by the partner
-Holds seminars to staff
-Takes part in implementing and conducting standard operating procedure on audit process
-Prepares various reports on staff performance based on monthly data gathered
Coordinator of prospective/existing clients
-Acts as a middleman between clients and auditors/accountants for service related queries
-Meets with prospective clients and keeps track on updates
- Administrator/ Recruiter
-Serves as point of contact on hiring new employees
-Supervises office needs i.e. printing of business cards, letter heads, etc.
-Serves as point of contact of outsourced IT department
-Books travel arrangements and accommodation when necessary
-Organizes office events, ie. Team building, staff dinners, staff birthday parties, etc.
-Organizes internal staff meetings and responsible for noting down minutes
